This document outlines how to send a meeting request on behalf of someone else.


You can accept a calendar invitation using Calendar on iCloud.com or the Calendar app on your iPhone, iPad, iPod touch, or Mac. Do either of the following: In the invitation email you receive for the event, click Join Calendar. In Calendar on iCloud.com, click below the calendar. In order to send a meeting request on behalf of someone else, you first have to have that person give you delegate access.

To give someone delegate access:
1. Open Outlook on the computer of the person who wishes to delegate their calendar.


3. Select Account Settings and choose Delegate Access.

4.Select Add and choose the person to whom the calendar will be delegated from the address book. Select Add again and choose OK.

5. Accept the default permission settings in the Delegate Permissions dialog box. By default, the delegate can read, create, and modify calendar items.

To use your access to send a request:
1. Select Open a Shared Calendar and open the delegated calendar

2. Click New Meeting in the new group on the Home tab. Enter the meeting attendees, location, and start and end times as you would do on your own calendar.
3. Select Send once the meeting request is completed. You have just sent a calendar entry on another person's behalf.

Symptoms

A user grants you Free/Busy permission to their calendar, but when you try to open that user's calendar in Microsoft Outlook 2016 for Mac or Outlook for Mac 2011, you receive the following error message:

Outlook cannot open the folder. You do not have permission to open this folder. Contact <user_name> for permission.

Cause

Outlook for Mac cannot open another user's calendar when the user's Calendar folder permission level is set to Free/Busy. This feature is available only in Outlook 2010 and Outlook 2013 for Windows.

To open a shared calendar in Outlook for Mac, the user must grant you permissions of Reviewer or higher. Or, you can view the user's Free/Busy information by creating a new meeting request and then adding that user in the Scheduling Assistant.
